NWIIL&GG Privacy Policy
Purpose
To describe how No Waste Incinerators In Lara & Greater Geelong Incorporation (NWIIL&GG Inc) protects Personal Information in accordance with the Privacy Act 1988 (Cth).
Scope
This policy applies to all Personal Information collected by NWIIL&GG Inc about any person, including Personal Information belonging to Members, Associate Members and Volunteers.
General Principles
- NWIIL&GG Inc will only collect Personal Information when it is reasonably necessary to carry out our purposes and activities. We may also collect Personal Information if you interact with our website and social network accounts such as Facebook (Facebook will also handle your personal information for their own purposes and have their own privacy policy).
- For the purposes of this policy, Personal Information means information about an identifiable individual. The sort of Personal Information we collect includes name, address, telephone and email contact details.
- NWIIL&GG Inc collects Personal Information when an individual applies to become a Member or an Associate Member of the incorporation. We collect and use Personal Information so that we can keep an accurate register of NWIIL&GG Inc Members/Associate Members and communicate with our Members/Associate Members via email and phone.
- NWIIL&GG Inc will take all reasonable steps to keep Personal Information accurate, up-to-date, confidential and secure.
- NWIIL&GG Inc will destroy Personal Information if it is no longer reasonably necessary for us to keep the information to carry out our purposes.
- Any person may request access to their Personal Information held by NWIIL&GG Inc, including to update and/or correct that information.
- Complaints about possible breach of privacy by NWIIL&GG Inc should be reported immediately to the President. Complaints will be dealt with promptly and confidentially.
Protecting Personal Information
- NWIIL&GG Inc will take all reasonable steps to ensure Personal Information is securely stored and protected, including by ensuring:
- Personal Information is only available to those who reasonably need that information to carry out NWIIL&GG Inc’s activities;
- Paper records containing Personal Information are destroyed after the Personal Information is recorded electronically;
- Electronic records containing Personal Information are secured through use of passwords, folder access controls, virus protection and firewalls;
- Personal Information is not inappropriately shared verbally at NWIIL&GG Inc meetings, whether in person, online or on the telephone.
- We may disclose your personal information to third parties who assist us to operate or when required by law. For example, we may disclose your personal information to:
- our administrative service providers (such as IT services providers); and
- our professional advisors (such as accountants, auditors and lawyers).
- If NWIIL&GG Inc ever needs to disclose your Personal Information to a third party other than those referenced in clause [9], we will seek your consent to prior to making the disclosure.
Destroying or De-identifying Personal Information
- NWIIL&GG Inc will not keep Personal Information if it is no longer reasonably necessary to carry out activities or if a person resigns as a Member/Associate Member.
- When Personal Information is no longer needed by NWIIL&GG Inc, we will take all reasonable steps to destroy the information.
Privacy Complaints
- Complaints regarding possible breach of privacy by NWIIL&GG Inc should be reported to the President via email info@nowasteincenerators.org
- Complaints will be investigated promptly and confidentially.
- Any complaint that NWIIL&GG Inc has failed to provide access to or correct Personal Information held by us may be made directly to the Office of the Australian Information Commissioner via https://www.oaic.gov.au/
